A solo operator can run Timezer as one staff member. The moment a second chair, room, or practitioner exists, invite links beat shared passwords. Timezer staff memberships, invites, time off, and (for reception) secretary access are how the calendar stays true.
This is the operations guide. Pair with first-week setup.
Roles that actually exist
- Business owner — policies, payments, services, visual identity, subscription to Timezer.
- Practitioner / staff — own agenda (
/Staff/Agenda), own bookings, time off. - Secretary — front-desk calendar in Admin, without the full sales/config surface.
Do not give the Saturday intern the owner login. An invite token at /{business}/staff-invite/{token} creates the right membership after Auth0 signup.
Why shared logins fail
Shared owner passwords create three expensive bugs:
- Someone deletes a service “to clean up.”
- Time off is never entered, so the public page still sells a holiday.
- You cannot tell who confirmed a PIX.
Invites are slower on day one and cheaper every week after.
Multi-chair rules that prevent double booking
- Each bookable human is a staff record with working hours. “The shop” as a single fake staff member will collide the moment two cuts overlap.
- Services map to who can perform them. A colouring service should not offer the junior who only cuts.
- Time off is a first-class screen, not a WhatsApp to the owner. Blocked time must disappear from public slots.
- Secretaries book; they should not invent prices. Keep packages and policies on the owner.
Timezer already splits Staff vs Admin calendar. Practitioners live in the Staff area. Reception lives in Admin. That dual-area model is confusing until you name it out loud in training: “You are Staff” vs “You are reception.”
Onboarding a new chair in one hour
- Owner: Staff management → invite → send the link (WhatsApp is fine).
- New person: signup with their own email, accept membership.
- Owner: attach services they may perform; confirm weekly hours.
- Test: book that person from the public page on a private slot, then cancel.
If step 4 fails, do not advertise the new chair on Instagram yet.
Services vs courts
Staff invites are a services story. Sports venues book resources (courts), not people, as the scarce unit — though you still have an owner and maybe a secretary. Do not create fake “staff” named Quadra 1; create a resource. See court replay and booking.
FAQ
Can one person work at two Timezer businesses?
Yes. Staff can belong to multiple memberships and pick the business when they open the agenda.
What if they never accept the invite?
The public page will still offer a staff member with no login. Either they accept, or you remove them from online booking and keep them as walk-in only.
Should I use secretary access for a partner who also cuts?
If they perform services, they need a practitioner membership so their own bookable hours exist. Secretary-only is for people who should not appear as a service option.
How does this help no-shows?
It does not, directly. It stops internal no-shows: the chair is empty because the professional left and the system still sold the slot. External no-shows are deposits.
Where do customers pick the professional?
On the public booking flow: attendance type → service → staff → slot. If you only have one staff member, keep the flow honest rather than hiding a ghost “any professional” that then breaks.
